Workday for Google Sheets connects Adaptive Planning data to spreadsheets and adds Ask Workday summaries, variance analysis, anomaly detection and chart creation.

Workday for Google Sheets began rolling out September 21, 2026, according to Google Workspace Updates. The add-on lets licensed Workday Adaptive Planning customers work with governed planning data in Sheets and move analysis into Slides. Its AI features can explain changes and surface anomalies, but deployment requires administrators on both platforms.

This is governed data access, not a replacement planning system

The feature brings Workday data into the interface many finance teams already use. That can reduce copying and make collaboration easier, but Sheets remains a working surface. The authoritative plan, permissions and model structure still live in Workday Adaptive Planning.

Every exported analysis should retain four fields: source model, scenario or version, last refresh and owner. Without them, a persuasive AI summary can outlive the data it describes.

How to review an AI variance explanation

  1. Lock the compared periods, currency and scenario.
  2. Recalculate the numeric variance independently.
  3. Trace every named driver to a source row or Workday dimension.
  4. Separate correlation from a supported business cause.
  5. Check whether one-time items or mapping changes explain the movement.
  6. Add the refresh timestamp to any slide or decision memo.

The AI can accelerate a first narrative, but the owner should be able to reconstruct the explanation from the data. This is especially important for board material, forecasts and external reporting.

Two administrators must enable the workflow

Google says setup involves both Google Workspace and Workday administrators. An organization also needs the relevant Workday Adaptive Planning license. Teams should not assume that seeing the add-on in a marketplace means they can connect production financial data immediately.

  • Workspace admin: controls installation and user access.
  • Workday admin: configures the planning-side connection and permissions.
  • Finance owner: defines approved models, scenarios and review rules.
  • Security owner: reviews data residency, sharing and account revocation.

Rollout timing can differ by domain

The Workspace Updates post says the feature is available to Rapid Release and Scheduled Release domains, but staged rollouts can still create timing differences. An admin should verify the add-on, Workday entitlement and organization policy before scheduling a training session.

A pilot that produces measurable evidence

Choose one monthly variance package with a known manual baseline. Measure time to refresh, time to first explanation, number of unsupported statements, reviewer corrections and time to an approved deck. Include at least one anomaly the team already understands and one period with a mapping change.

Where the integration saves time

The clearest gains should come from reducing exports, refreshing recurring analyses and drafting the first explanation of a variance. The highest-risk use is an automatically generated narrative that moves into an executive presentation without numeric reconciliation. Treat the feature as an analysis accelerator with explicit signoff, not an autonomous finance function.

A useful control is a review column beside every generated explanation. The analyst records accepted, corrected or rejected, links the supporting cells and names the approver. After three reporting cycles, the team can identify which variance types the tool handles reliably and which still require manual investigation. This converts anecdotal time savings into an auditable quality record.

Organizations should also decide whether downloaded or copied Sheets remain governed records. Retention, sharing and external-collaborator policies need to follow the data after it leaves the planning interface. AI convenience should not weaken existing finance access rules.

Before broader rollout, test formulas, named ranges and refresh behavior in a copy of the reporting workbook. Confirm that an AI-created chart does not silently change the approved aggregation, fiscal calendar or currency treatment. Small presentation choices can create a materially different financial conclusion.
